Electric’s Equip New Hire workflow helps organizations efficiently assign, purchase, and track employee hardware during onboarding.

When a new employee requires company hardware, Electric automatically generates an Equip New Hire task for your designated device champions or hardware administrators. This workflow helps ensure employees receive the right equipment while keeping inventory and asset tracking centralized within Electric.

How Equip New Hire Works

Step 1: Equip New Hire Task is Generated

During the onboarding workflow, the onboarding champion determines whether the employee requires company hardware.

If hardware is needed, Electric automatically generates an Equip New Hire task.

This task is assigned to your designated device champions or hardware administrators.

If the same individual is responsible for both onboarding and hardware management, they can continue directly into the Equip New Hire workflow.


Step 2: Review Employee Hardware Needs

The device champion reviews the employee’s hardware requirements and determines what equipment should be assigned.

This may include:

  • Laptops

  • Monitors

  • Docking stations

  • Keyboards and mice

  • Headsets

  • Other company assets or accessories

Organizations can standardize recommended hardware based on:

  • Department

  • Role

  • Location

  • Employee type

  • Custom onboarding policies


Hardware Assignment Options

Option 1: Purchase Hardware Through the Electric Hardware Store

Electric’s Hardware Store allows organizations to purchase new hardware directly within the onboarding workflow.

Device champions can:

  • Browse approved hardware

  • Add devices and accessories to cart

  • Ship hardware directly to employees

  • Standardize purchasing across the organization

Once checkout is completed:

  • The employee is automatically assigned the purchased hardware

  • The Equip New Hire task closes automatically

  • Asset tracking begins immediately within Electric

Option 2: Assign Existing Inventory

Organizations can also assign hardware from existing inventory through the Company Assets tab.

This allows device champions to:

  • Reuse available inventory

  • Assign devices already stored at company locations

  • Track inventory availability

  • Manage devices across offices or warehouse locations

Once inventory is assigned:

  • The device becomes associated with the employee record

  • The Equip New Hire task closes automatically

  • Asset ownership and lifecycle tracking are updated

The Equip New Hire task automatically closes once:

  • Hardware is purchased through the Hardware Store

  • Existing inventory is assigned to the employee

Administrators can return to the employee profile at any time to review:

  • Asset details

  • Shipping information

  • Inventory status
