Complete IT Setup Overview

Electric’s Complete IT Setup workflow helps organizations streamline employee onboarding by connecting HR and IT processes into a single guided experience.

When a new employee is added to Electric manually or via your HR system, Electric automatically generates a Complete IT Setup task for your designated onboarding champion or IT administrator. This task guides your team through everything needed to prepare a new employee for day one, including application access, group assignments, and hardware setup.

How Complete IT Setup Works

Step 1: Employee Syncs into Electric

When a new employee is added to your connected HR system, the employee information syncs into Electric automatically.

Once synced, Electric generates a Complete IT Setup task.

An email notification is sent to your designated onboarding champion or champions.

Step 2: Review Employee Setup Needs

The onboarding champion signs into Electric and reviews the employee’s onboarding requirements.

During this step, they can determine:

  • Which applications the employee should receive

  • Whether hardware is needed

  • Which groups or permissions should apply to the employee

This workflow allows IT onboarding decisions to happen in a single guided experience instead of across multiple systems.

Notifications:

If you would like someone notified when IT setup is complete, you can add them to the notifications section of the page. This is typically used for the manager role. If the manager field has been populated on the employee, then this person will be automatically added to notifications.

If you are a mixed plan customer, you will also need to pick which license type will be assigned to an employee during this step.

Step 3: Assign Groups & Application Access

Employee access in Electric is commonly managed through groups.

Groups may represent:

  • Departments

  • Teams

  • Locations

  • Management roles

  • Contractors

  • Specialized access levels

Groups can automatically assign:

  • Applications

  • Slack channels

  • Okta groups

  • Microsoft Entra groups

  • Other connected permissions and resources

This helps standardize onboarding and ensures employees receive the correct access based on their role.

Step 4: Automated Application Provisioning

Once applications and groups are assigned, Electric can automatically create employee accounts for supported integrations.

This may include:

  • Microsoft 365

  • Google Workspace

  • Slack

  • Zoom

  • Salesforce

  • GitHub

  • Other supported applications

For organizations using Microsoft 365 or Google Workspace, email accounts are automatically created using the employee’s work email address.

Applications Without Automation

If an application is not connected to Electric or is not configured for automation, Electric can generate manual onboarding tasks for the appropriate internal owner or application champion.

This ensures onboarding steps are still tracked even when automation is unavailable.


Hardware Setup & Device Assignment

Equip New Hire Task

If hardware is needed, Electric automatically generates a separate Equip New Hire task.

This task can be assigned to:

  • A hardware administrator

  • An IT team member

  • The same onboarding champion completing the Complete IT Setup task

The task remains open until hardware is either:

  • Purchased through the Electric Hardware Store

  • Assigned from existing company inventory

Hardware Store & Inventory Management

Electric provides two primary methods for equipping employees.

Hardware Store

Purchase new devices and accessories directly through Electric.

Company Assets

Assign existing inventory already owned by your organization.

Once hardware is assigned or purchased:

  • The Equip New Hire task closes automatically

  • Devices are assigned directly to the employee record

  • Hardware can be tracked throughout the employee lifecycle


Completing IT Setup Before HR Sync

Organizations sometimes need to prepare employee onboarding before the employee officially exists in the HR system.

In these cases, Electric allows administrators to:

  1. Manually add an employee

  2. Complete the IT onboarding workflow early

  3. Automatically merge records later once the HR sync occurs

This helps organizations prepare hardware and application access ahead of start dates while still maintaining a clean employee record once HR onboarding is completed.
