Introduction
The Unlicensed Employees page gives you a clear view of everyone in Electric who does not currently hold an active license. This could mean a few different things: the employee may be in a role that simply doesn't require application access or a managed device, they may be actively working through their IT offboarding, or they may be a fully offboarded, terminated, or exited employee. Whatever the reason, this page keeps them organized and accounted for so nothing slips through the cracks.
Feature Details
The Employee Table
The Unlicensed Employees page displays all employees without an active Electric license. Each employee's Name and available Actions are always visible. Use the Search box at the top of the table to quickly find specific employees by name, job title, or email address.
Customize Your Columns
Use the Customize Columns option to tailor your view and surface the details most relevant to your workflow. Available columns include:
-
Job Title - The employee's role as recorded in their profile
-
Task Flow - The active IT flow associated with the employee (see below)
-
Devices - Filter by whether the employee has an assigned device or not
-
Groups - The groups the employee belongs to, which determine their application access
-
Status - The current state of the employee record in Electric
-
OS - The operating system on the employee's assigned device
-
Start Date - The employee's start date as recorded in Electric
-
Termination Date - The employee's termination date. This column will not populate until the Offboard Employee task has been completed
-
Manager - The manager assigned to this employee in Electric
-
Date Added - The date this employee was added to Electric
Understanding Task Flow
On the Unlicensed Employees page, there is only one Task Flow status to be aware of:
-
Offboarding - This employee is unlicensed, but their IT offboarding is still in progress. There are open tasks remaining to revoke application access. Until those tasks are completed, this employee may still have access to one or more applications and should be reviewed promptly.
If no task flow is shown, the employee is unlicensed with no active IT or HR flows in progress.
Filtering by Termination Status
You can filter employees by whether they have been terminated or not. This is particularly useful when your HR system has synced employees who are still active at your organization but are not yet licensed in Electric. Using this filter makes it easy to identify those individuals and assign them a license when the time comes.
Bulk Actions
Need to take action across multiple unlicensed employees at once? Select the employees you want to include, then choose from the available bulk actions.
How to Use Bulk Actions
To perform a bulk action:
-
Check the box next to each employee you want to include
-
Select the Actions button
-
Choose the action you want to perform
Selecting Across All Pages: To act on your entire unlicensed employee list, first select all employees on the current page using the checkbox in the table header. A link will appear at the top of the table that reads "Select all ## across all pages." Clicking this extends your selection across every page so your bulk action applies to everyone, not just those visible on screen.
Available Bulk Actions
Mark as Licensed Immediately grants a license to the selected employee(s), giving them access to Electric. Use this when an active employee needs to be brought into Electric, such as when your HR system has synced someone who was not previously licensed.
Download Selected Downloads a list of the selected employees. Please note this export includes only each employee's name, email address, and job title.
