Electric’s Offboard Employee workflow helps organizations securely and efficiently manage employee offboarding by coordinating application access removal, device retrieval, and security actions in a single guided experience.
When an employee is terminated in your connected HR system, Electric automatically generates an Offboard Employee task for your designated IT administrators or offboarding champions. This workflow helps ensure former employees no longer have access to company systems while simplifying hardware recovery and tracking.

How Offboard Employee Works
Step 1: Employee Termination Syncs into Electric
When an employee is terminated in your connected HR system, the employee status syncs into Electric automatically.
Once synced, Electric generates an Offboard Employee task.
The task is assigned to your designated offboarding champion or IT administrator.
Immediate or Same-Day Terminations
For urgent offboarding situations, administrators can also manually trigger the workflow directly from the employee profile within Electric.
This allows organizations to immediately begin revoking access and securing devices without waiting for the next HR sync cycle.
Step 2: Revoke Application Access
The first step in the Offboard Employee workflow is removing employee access to company applications.
For supported applications connected to Electric, access revocation can occur automatically once the step is completed.

Applications Without Automation
If an application is not connected to Electric or is not configured for automation, Electric automatically generates manual offboarding tasks for the appropriate internal application owner or champion.
This helps ensure all offboarding work is tracked, even for systems that are not directly integrated.
Device Retrieval & Hardware Management
Step 3: Choose a Device Return Method
If the employee has company hardware assigned, Electric guides administrators through selecting a device retrieval method.
Organizations can choose to:

Ship the device to company headquarters

Ship the device to an Electric warehouse

Allow the employee to return the device in person

Allow the employee to keep the device after employment
This flexibility helps support remote, hybrid, and in-office work environments.
Step 4: QR Code Device Returns
For organizations choosing a shipment-based return process, Electric can automatically generate a QR code return workflow.
Once the Offboard Employee task is completed:

Device Security Actions
Step 5: Secure Managed Devices
Organizations using Electric’s Pro plan with supported MDM solutions can perform additional security actions during offboarding.
Available actions may include:

Locking the device

Leaving the device unchanged
These actions help organizations secure company data during employee departures, especially for remote employees or lost devices.

Review & Tracking
Step 6: Review Offboarding Status
Once the workflow is completed, administrators can review the employee profile to view:

Devices remain assigned to the former employee until the hardware is physically received and reassigned or moved back into inventory.
