When an employee’s department or group information changes in your connected HR system, Electric automatically generates a Group Change task for your designated application champions or IT administrators. This workflow helps ensure employees receive the correct applications, permissions, and group memberships as their role evolves within the organization.

How Group Change Works

Step 1: Employee Change Syncs into Electric

When an employee’s department or group assignment changes either by manual update or by a change in your connected HR system, the updated employee information syncs into Electric automatically.

Once synced, Electric generates a Group Change task.

The task is assigned to your designated application champion or champions.

This workflow commonly supports:

  • Department transfers

  • Promotions

  • Team changes

  • Contractor conversions

  • Role changes requiring different application access

Step 2: Review Current & New Access

The Group Change task guides champions through reviewing the employee’s existing access and determining what should change moving forward.

During this process, administrators can:

  • Grant access to new applications

  • Remove access from previous departments or teams

  • Allow employees to retain specific applications if needed

  • Add or remove group memberships

  • Adjust permissions tied to role changes

This helps organizations avoid overprovisioning while ensuring employees still have the tools they need.

Step 3: Automatic Access Updates

For applications connected to Electric and configured for automation, Electric can automatically:

  • Create accounts

  • Grant access

  • Remove access

  • Update group memberships

  • Adjust permissions

This may include:

  • Microsoft 365

  • Google Workspace

  • Slack

  • Salesforce

  • GitHub

  • Zoom

  • Okta

  • Microsoft Entra

  • Other connected systems

Electric can also automatically update:

  • Slack channel memberships

  • Okta group assignments

  • Microsoft Entra group memberships

  • Other connected identity or collaboration groups

Applications Without Automation

If an application or system is not connected to Electric or is not configured for automation, Electric automatically generates manual tasks for the appropriate internal application owner or champion.

This ensures all access changes are tracked, even for systems that are managed manually.


Review & Completion

Step 4: Finalize the Group Change

Once all access decisions are completed:

  • Automated systems are updated immediately

  • Manual tasks are assigned where needed

  • Group memberships are updated

  • The Group Change task closes automatically once all required actions are complete

Administrators can review the employee profile at any time to view:

  • Current application access

  • Assigned groups

  • Pending manual tasks

  • Historical access changes
