Electric integrates with TriNet HR Plus (ASO) to automate employee onboarding, offboarding, and employee change management workflows between HR and IT. Employee information entered into TriNet HR Plus syncs into Electric approximately every 3 hours, automatically triggering IT tasks and workflows for your organization.
This integration helps automate:
-
Application provisioning and revocation
-
Hardware assignment and retrieval
-
Department and group-based access management
-
Employee lifecycle workflows
-
Device security actions
-
IT coordination between HR and IT teams
If your organization uses TriNet HR Plus, the integration is facilitated through Merge. Merge acts as the secure bridge between TriNet HR Plus and Electric, ensuring employee data syncs reliably and securely.

Employee Onboarding
Step 1: Employee is Added in TriNet HR Plus
When an employee onboarding is initiated in TriNet HR Plus, employee information will sync into Electric during the next scheduled sync (approximately every 3 hours).
Once synced, Electric automatically generates a Complete IT Setup task.
An email notification will be sent to one or more designated onboarding champions within your organization.
Step 2: Complete IT Setup
The onboarding champion signs into Electric and completes the onboarding workflow.
During this step, the champion determines:
-
Which applications the employee should receive
-
Whether the employee requires company hardware
Step 3: Assign Groups & Application Access
Employee access is managed through groups configured in Electric.
Department-Based Access
The employee’s department from TriNet HR Plus syncs automatically into Electric. During implementation, application access rules are configured based on department mappings.
For example:
-
Sales employees may receive Salesforce, Gong, and Zoom
-
Engineering employees may receive GitHub, Jira, and AWS
Custom Groups
Your organization can also create additional custom groups such as:
-
Management
-
Leadership
-
Contractors
-
Regional Teams
-
Specialized application groups
Custom groups can also automatically assign application access.
Step 4: Application Provisioning
Once groups are assigned, Electric automatically provisions accounts for supported applications connected for automation.
This includes email account creation if your organization uses:
-
Microsoft 365
-
Google Workspace
The employee’s email account is created using the work email entered in TriNet HR Plus.
Applications Without Automation
If an application is not connected to Electric or is not configured for automation, a manual task is generated for your designated application champion.
This same workflow also applies during offboarding and group changes.
Step 5: Hardware Assignment or Purchase
If hardware is needed, Electric generates a separate Equip New Hire task.
This task is assigned to your designated hardware champion.
If the same individual serves as both the onboarding and hardware champion, they will immediately continue into the hardware workflow.
The task is completed once hardware is:
-
Purchased from the Electric Hardware Store
-
Assigned from existing inventory
Step 6: Hardware Store & Inventory
Within Electric, the hardware workflow contains two primary tabs.
Hardware Store
Purchase new hardware and accessories directly through Electric.
Company Assets
Assign existing company inventory to employees.
Once checkout or assignment is completed:
-
The Equip New Hire task closes automatically
-
Assets are assigned directly to the employee
Completing IT Setup Before the TriNet Sync
If IT setup must be completed before the employee exists in TriNet HR Plus:
-
Navigate to:
-
Employees → Add Employee
-
-
Enter the employee information manually
-
Ensure the work email matches the email that will later be entered into TriNet HR Plus
Electric will immediately walk you through the Complete IT Setup workflow.
Once the employee is later added to TriNet HR Plus and the next sync occurs, the records automatically merge based on work email address.
Group & Department Changes
Step 1: Department or Group Change in TriNet HR Plus
When an employee changes departments in TriNet HR Plus, Electric automatically detects the update during the next sync cycle (approximately every 3 hours).
Electric then generates a Group Change task.
This task is automatically assigned to your default application champion or champions.
Step 2: Review Access Changes
The Group Change task allows your team to determine:
-
Which applications the employee should keep from their previous department
-
Which applications should be removed
-
Which new applications should be granted based on the employee’s new department or groups
This workflow also updates group-level access settings such as:
-
Okta groups
-
Microsoft Entra groups
-
Slack channels
-
Other connected group-based systems
Step 3: Application & Group Updates
For applications connected to Electric and configured for automation:
-
Access is automatically created, updated, or revoked
For applications that are not connected or not configured for automation:
-
Manual tasks are automatically generated
-
Tasks are assigned to your designated application champions
This ensures employees receive the correct access while reducing manual IT coordination during internal role or department changes.
Employee Offboarding
Step 1: Employee is Terminated in TriNet HR Plus
When an employee is terminated in TriNet HR Plus, the termination information syncs into Electric within approximately 3 hours.
The offboarding task automatically appears on the employee’s final day of employment.
Same-Day Terminations
For immediate terminations, you have two options:
-
Wait for the next TriNet HR Plus sync
-
Manually trigger the workflow by navigating to:
-
Employee Profile → Actions → Offboard Employee
-
Step 2: Revoke Application Access
The first step in the offboarding workflow is revoking access to applications.
Automated Revocation
If applications are:
-
Connected to Electric
-
Configured for automated provisioning
Access is automatically revoked immediately after this step is completed.
This may include:
-
Microsoft 365
-
Google Workspace
-
Slack
-
Zoom
-
Salesforce
-
Other connected applications
Manual Revocation Tasks
For applications that are not connected or configured for automation, Electric generates manual tasks for your designated application champion(s).
Step 3: Choose a Device Retrieval Method
Next, you determine how company hardware should be handled.
Available options include:
-
Ship the device to the Electric warehouse
-
Ship the device to a company site such as headquarters
-
Allow the employee to return the device in person
-
Allow the employee to keep the device after employment
Step 4: QR Code Device Returns
If you choose either:
-
Electric warehouse
-
Company site return
Electric automatically generates a QR code and emails it to the offboarded employee once the Offboard Employee task is completed.
The employee can then:
-
Bring the laptop and charging cable to a UPS Store
-
Present the QR code
-
UPS will:
-
Pack the device
-
Insure the shipment
-
Ship it to the destination you selected
-
This eliminates the need for the employee to package or label the device themselves.
Step 5: Device Security Actions (Pro Plan)
If you are a Pro customer and the device has MDM installed, you will be prompted to choose how the device should be secured.
Available options include:
-
Remotely wipe the device
-
Lock the device
-
Leave the device unchanged
Leaving the device unchanged is not recommended for security purposes.
This step only appears for devices with supported MDM installed.
Step 6: Confirm Shipping Information
If a QR-code-based return was selected, you will be asked to confirm:
-
Shipping origin address
-
Destination address
Addresses can be edited before finalizing the return workflow.
Step 7: Review Offboarding Status
Once the workflow is completed, you will return to the employee profile page.
From the employee profile, you can view:
-
Which applications have already been revoked
-
Any applications still pending removal
-
Assigned company hardware
-
Device return status
Devices remain assigned to the offboarded employee until the hardware is physically received and reassigned or moved into inventory.
