Google Workspace (HR)

Introduction

Using Google Workspace as your source of truth for employee data? Electric supports integration with Google Workspace through Merge, allowing you to sync employee records and power onboarding and offboarding workflows.

Once connected, employee data from Google Workspace will sync into Electric to help automate lifecycle management.

Please note: Google Workspace is supported via Merge and is not a direct Electric partner integration.


Feature Details

How the Google Workspace Integration Works

Electric connects to Google Workspace using Merge’s secure OAuth authentication flow.

After connection:

  • Employee directory data syncs into Electric

  • Changes made in Google Workspace reflect in Electric

  • Sync occurs approximately every 1–2 hours

  • Employee status changes can trigger onboarding or offboarding workflows

Important Limitation: Groups & Departments

Google Workspace does not provide department or group data in a way that Electric can import through the Merge integration.

This means:

  • Groups will not automatically populate in Electric

  • Departments will not automatically populate in Electric

  • Application assignment based on groups will need to be configured manually within Electric

If you rely on department-based or group-based access controls, you will need to create and manage those groups directly in Electric.


Sync Frequency

The Google Workspace integration syncs approximately every 1–2 hours.

This is not a real-time sync. Please allow up to two hours for changes made in Google Workspace to appear in Electric.


What Data Syncs from Google Workspace?

The following employee data fields sync into Electric:

  • First Name

  • Last Name

  • Work Email

  • Employment Status

  • Role / Title (if available in directory profile)

  • Phone Number (if available)

Department and group data do not sync from Google Workspace.


Instructions

Connecting Google Workspace to Electric

Follow these steps to connect your Google Workspace account:

Step 1: Navigate to Integration Settings

  1. Log into Electric

  2. Click your initials in the top-right corner

  3. Select Settings

  4. Select Google Workspace

  5. Click the three dots menu

  6. Select Connect


Step 2: Authenticate via Merge

  1. Click I am an admin

  2. Click Next

  3. Select Open Window

  4. Complete the Google login flow in the new window

  5. Follow Google’s authorization prompts

  6. Return to Electric once authentication completes

Once authentication is successful, the integration will activate and syncing will begin.


Disconnecting Google Workspace

To disconnect the integration:

  1. Navigate to Settings > Google Workspace

  2. Click the three dots menu

  3. Select Disconnect

Once disconnected:

  • Employee data will no longer sync

  • Automated lifecycle workflows triggered by Google Workspace updates will stop

  • How long does the Google Workspace sync take?

    • The integration syncs approximately every 1–2 hours.

  • Why are my departments or groups not showing up in Electric?

    • Google Workspace does not provide department or group data in a format that can be imported via Merge. You will need to create and manage groups directly within Electric.

  • Do I need admin permissions to connect?

    • Yes. You must be a Google Workspace administrator to authorize the integration.

  • Can I manually trigger a sync?

    • Currently, syncing follows the scheduled cadence managed through Merge.
