Employee Updates

Introduction

Keeping employee data in sync shouldn't feel like rewiring a circuit board from scratch. The Employee Updates settings page puts you in control of how Electric handles two of the most important moments in an employee's lifecycle: IT onboarding and group transfers. Whether you prefer to automate the heavy lifting or keep a human in the loop, these settings let you configure exactly how much Electric does on your behalf, so your team spends less time on manual tasks and more time on work that matters.

IT Onboarding

When a new employee is onboarded, Electric generates a "Complete IT Setup" task to make sure every new hire hits the ground running. This section lets you decide how much of that process runs automatically versus how much stays in your team's hands.

Applications

Choose how application access is handled for new employees. You have two options:

  • Manual Review (Default): Application access is verified based on the employee's assigned groups. A review step is included in the Complete IT Setup task before access is granted, giving you a checkpoint before anything is switched on.

  • Automated: Applications are assigned based on group memberships automatically, with no additional review required. Access flows as soon as the onboarding is initiated.

Schedule Application Tasks in Advance

By default, as soon as you complete the IT setup task manually. You can turn this setting on to run application tasks a set number of calendar days before the start date.

Example: Say your new hire, Jamie, has a start date of Monday, March 10th, and you set application tasks to run 3 days in advance. When you complete the IT Setup task on March 1st, Electric will hold off on triggering any application tasks until March 7th. At that point, automations kick off automatically, such as creating Jamie's Google Workspace email or granting access to Slack, and any manual access tasks are sent to the designated Application Champions for action. Everything is ready and waiting when Jamie walks in on day one.

Hardware

Decide how hardware provisioning is handled for each new employee. Three options are available:

  • Let Me Decide (Recommended): You choose per employee whether they need hardware. An "Assign or purchase hardware" task is created from the Complete IT Setup task only when you decide it's needed.

  • Always Create a Task: An "Assign or purchase hardware" task is created automatically for every new hire, assuming every employee needs a device.

  • Skip: Hardware provisioning is skipped entirely for your company. Choose this if your team handles hardware outside of Electric.


Group Transfer

When an employee is added to or removed from a group in your HR system, Electric can handle the downstream application access changes for you. This section controls how those transfers are managed.

Transfer In

When an employee is added to a group in your HR system, choose how Electric grants the new group's application access:

  • Manual (Default): A "Group change" task is created for an admin to review and complete.

  • Automated: Electric adds the employee to the new group's applications automatically. If Transfer Out is set to manual, a "Group change" task is still created, but only the removal side requires admin action.

Transfer Out

When an employee is removed from a group in your HR system, choose how Electric removes the old group's application access:

  • Manual (Default): A "Group change" task is created so an admin can review the access being removed before it happens.

  • Automated: Electric removes the old group's application access automatically. If Transfer In is manual, a "Group change" task is still created, but only the addition side requires admin action.


Instructions

Configuring Employee Update Settings

  1. Log in to Electric

  2. Click your company name in the top menu

  3. Select Settings

  4. Click the Company Profile tab

  5. Select Employee Updates

  6. Under IT Onboarding, choose your preferred option for Applications and Hardware

  7. If desired, toggle Schedule application tasks in advance and set the number of days

  8. Under Group Transfer, select your preferred options for Transfer In and Transfer Out

  9. Click Save Information


Tip: Not sure which settings are right for your team? Manual review is a great starting point if you're new to Electric or prefer tighter control during onboarding. You can always flip the switch to automated once you're comfortable with the flow.
