Offboarding an employee? We've got you covered with a streamlined process that ensures security and efficiency every step of the way. Whether you're automating offboarding through an HR integration or managing it manually, Electric's IT Hub makes it simple to remove access, handle devices, and ensure a smooth transition. Let's plug into the details!
Getting Started with Offboarding
To initiate an offboard:
Navigate to Active Employees in the IT Hub.
Select the employee you wish to offboard.
Click the Actions button in the top left corner.
Choose Offboard from the dropdown menu.
If your company has an HR integration, offboards are triggered via tasks. You can find these tasks by clicking the Tasks icon in the top menu.
Pro Tip: Ensure you have one or more Offboarding Champions configured for seamless HR integration. To do this:
Go to the top menu and click your initials.
Select Settings, then navigate to the Support Center tab.
Enter the names of your designated Offboarding Champions.
The Offboarding Process
Once the offboarding process begins, you'll be guided through a wizard to complete the necessary steps with ease.
Step 1: Application Access Removal
Access to all applications is removed immediately and cannot be undone.
If automations are enabled, access will be revoked instantly.
If manual application tasks are used, these will be sent to the designated Application Champions.
Step 2: Device Handling Options Decide what to do with the employee's device:
Warehouse with Electric:
Device is sent to Electric for cleaning, inspection, and secure wiping (if needed).
A working charger is verified; missing or damaged chargers are replaced and invoiced.
Employees receive a QR code to take the device to UPS, where it will be packed, insured, and shipped securely to the Electric Warehouse
Electric will not store a device without a charging cable, and you will be responsible for replacing the cable if a device arrives with one damaged or missing.
All devices stored at the Electric Warehouse will be wiped.
A device can be shipped from the warehouse via the company assets section in the hardware store.

Ship to Site:
A QR code is provided to the employee for UPS drop-off.
The device is packed, insured, and shipped to a specified location.
Shipping costs will be invoiced.
In-Person Return:
The employee hands over the device directly to your team.
Give to Employee:
The device is retained by the employee for personal use.
Step 3: Security Measures If the device has MDM or if you're warehousing it, you'll see the following options:
Wipe the Device (Recommended):
Completely removes all company data, restoring it to factory settings.
The OS will need to be reinstalled upon receipt.
Lock the Device (Apple Only):
Prevents anyone from accessing the device without an admin-provided code.
Retains all company information.
Not an option for warehoused devices.
Do Nothing (Not Recommended):
Leaves all company data on the device.
Not an option for warehoused devices.
Step 4: Employee Contact Confirmation If you choose to warehouse or ship the device, you'll be prompted to confirm the employee's:
Address
Phone number
Personal email
This ensures the QR code is sent to the correct email and allows UPS to contact them if issues arise during shipment.
