Electric IT Hub | Employee Detail Page

Introduction

The Employee Detail page provides a comprehensive view of all attributes associated with each employee in the IT Hub. At the top of the page, you'll find information that you either manually entered or that was pulled from your HRIS if an integration is set up. Additionally, you can view any devices associated with the employee, including whether they have installed the Electric app and MDM.

The page also lists the applications available to the employee based on their assigned group(s) and provides a detailed list of their associated assets. Furthermore, you have the ability to edit employee details directly from this page. This detailed view is crucial for efficient employee management, ensuring all relevant information is easily accessible and up-to-date.


Editing an Employee

To edit an employee

  1. Log in to the IT Hub

  2. Navigate to the employee profile page of the specific employee you wish to edit

  3. SelectEdit Employee details’ from the list

  4. Edit Attributes

  5. Select the Save Information button

Onboarding an employee

An employee can be onboarded at any point in time, initiating the onboarding flow. You will need to choose one or more groups for them to be associated with. Tasks will then be created to grant access to each of the applications, and these tasks will be sent to your application champions. Additionally, a tracker will appear at the top of the employee detail page, showing the progression of the completed onboarding tasks.

To onboard an employee:

  1. Log in to the IT Hub

  2. Navigate to the employee profile page of the specific employee you wish to onboard

  3. Select the Edit employee button

  4. Select Onboard employee from the list

  5. Select one or more employee groups

  6. Enter employee start date

  7. Select the Begin onboarding button

Offboarding an employee

An employee can be offboarded when they are no longer part of your organization. At this time, there is no scheduling for offboardings, so ensure this action is only taken for employees who have exited your organization. Use this feature to conveniently remove the employee from all applications they’ve accessed through Electric. We will notify the App Champs of those applications to revoke access. Once completed, the employee will be marked as Inactive and will no longer use a licensed seat. Please note that once submitted, this action cannot be undone.

To offboard an employee:

  1. Log in to the IT Hub

  2. Navigate to the employee profile page of the specific employee you wish to onboard

  3. Select the Edit employee button

  4. Select Offboard employee from the list

  5. Select Next

  6. Check the box for ‘I understand that this action can not be undone’

  7. Select the Begin offboarding button

Devices

A laptop is not considered an employee’s device until the Electric app is installed and the employee has logged in. Once this task is completed, the device will appear on the employee’s profile. Banners may appear on this page if there are issues that require you to reach out to the employee. Additionally, if you are on the Pro plan, you can perform device actions directly from this section. This ensures comprehensive device management and timely resolution of potential issues, enhancing overall operational efficiency.

Locking a Device

Locking a device with MDM is crucial for maintaining security and protecting sensitive information. If a device is lost or stolen, locking it remotely can prevent unauthorized access to company data, reducing the risk of data breaches. Additionally, it ensures compliance with security policies, safeguarding the organization's assets and maintaining the integrity of confidential information. This capability is particularly important in mitigating potential threats and ensuring that devices remain secure even when not in the physical possession of the intended user.

To Lock a device:

  1. Log in to the IT Hub

  2. Navigate to the employee profile page of the specific employee whose device you would like to lock

  3. ClickLock Device’ in the upper-right of the device card

  4. Confirm by clicking the ‘Lock Device’ button

The device will show as ‘Lock pending’ until the device is connected to the internet

How to Unlock a Device

Unlocking a device with MDM is necessary to restore access for the authorized user if the device was previously locked due to a security concern or a lost device scenario that has since been resolved. This action ensures that the employee can resume their work without disruption once the security issue is addressed.

Unlock a MacOS Device

To unlock a MacOS device:

  1. Log in to the IT Hub

  2. Navigate to the employee profile page of the specific employee whose device you would like to unlock

  3. Click the ‘Unlock Device’ button

  4. Copy the six-digit PIN that is provided

  5. Send the PIN to your employee for them to enter to unlock their device

Unlock a Windows Device

To unlock a MacOS device:

  1. Log in to the IT Hub

  2. Navigate to the employee profile page of the specific employee whose device you would like to unlock

  3. Click the ‘Unlock Device’ button

  4. Your employee can now access their device!

Enrolling a device in MDM

Enrolling in MDM protects your employees’ devices by pushing security policies and allows you to lock their devices if there is a security concern. This ensures that the device remains secure and compliant.

To enroll a device:

  1. Log in to the IT Hub

  2. Navigate to the employee profile page of the specific employee whose device you would like to enroll

  3. On the device card selectSend MDM Instructions

  4. Click the Preview email button

  5. Click Send email

  6. Once your employee has enrolled in MDM a green MDM badge will appear on the device card

Device - View More

To view more details on a device, follow these steps:

  1. Log in to the IT Hub.

  2. Navigate to the employee profile page of the specific employee whose device you would like to see more information on.

  3. Select "View more" on the associated device card.

  4. You will be taken to the asset detail page for that device.

Assets

The Assets card lists all the assets that have been associated with your employee, providing a comprehensive overview of their assigned equipment.

To view more information on the assets:

  1. Log in to the IT Hub.

  2. Navigate to the employee profile page of the specific employee whose device you would like to see more information on.

  3. Select "View more" on the Assets card

  4. You will be taken to the Asset Listing page, filtered to show only the assets associated with the employee you were viewing

Applications

The Application card lists all the applications that your employee has access to. This list is driven by the groups your employee has been added to. The groups will appear to the right of each application, indicating which group or groups have granted access to the application.

Changing an employee’s role in IT Hub

Changing an employee to an admin in the IT Hub grants them additional privileges and responsibilities, such as managing other users, accessing sensitive information, and configuring system settings. This is particularly useful when an employee is promoted to a managerial or IT support role, enabling them to oversee IT operations and assist with administrative tasks, thereby enhancing the efficiency and security of the organization's IT infrastructure.

To change an employee’s role:

  1. Log in to IT Hub

  2. Select Active employees in the left menu

  3. Select the employee whose role you want to update

  4. Click the Edit Employee button in the upper right corner of the employee detail page

  5. Update the role attribute

  6. Select Save Information
