Integrating your HR system with the Electric IT Hub makes it easy to add employees automatically. Once connected, the HR system will sync employee information to the IT Hub, streamlining the process of onboarding new hires and ensuring their data is always up-to-date.


Setting Up Employees and Assigning Licenses for the First Time

  1. Select Active Employees in the left menu under the People section

  2. Click the 'View employees' button in the blue modal

  3. Select the employees you wish to provide with access to the IT Hub.

    • Please note, this will grant them a paid license

  4. Click the 'Set up employees' button

  5. You are all set!


Adding and Removing Employees via HR System On/Offboarding

To add an employee via HR System:

  1. Perform an onboarding in your HR System

  2. Login to the IT Hub

  3. Click on the tasks icon in the top menu

  4. Select the 'Onboarding' button for the task associated to the onboarded employee

    • Please note, depending on the HR System, it may take up to 24 hours for the employee to appear.

  5. Perform the onboarding task

  6. You are all set!

To remove an employee via HR System:

  1. Perform an offboarding in your HR System

  2. Login to the IT Hub

  3. Click on the tasks icon in the top menu

  4. Select the 'Offboarding' button for the task associated to the onboarded employee

    • Please note, depending on the HR System, it may take up to 24 hours for the employee status to be updated in the IT Hub.

  5. Perform the offboarding task

  6. You are all set!

How are employees added to the Electric IT Hub through my HR system?
When your HR system is integrated with the Electric IT Hub, new employees added to your HR system are automatically imported into the IT Hub. This triggers onboarding tasks to ensure they have the necessary devices, applications, and access.

How long does it take for a new employee to appear in the IT Hub?
Depending on your HR system, it may take up to 24 hours for a new employee to appear in the Electric IT Hub.

What information is synced from my HR system for new employees?
Information such as first and last name, email addresses, phone number, address, role, department, and employment status is automatically imported into the Electric IT Hub.

Do I need to manually grant licenses to new employees?
During the initial setup, you can select which employees are active and granted licenses. For new hires, licenses will be assigned automatically based on how you perform the onboarding task.

  • Note: All active employees have a license to IT Hub

What happens after an employee is added via the HR system?
Once the employee is added, onboarding tasks are created in the IT Hub. These tasks ensure the employee is equipped with the necessary hardware, applications, and access.

Can I make changes to an employee’s information after they’ve been added in IT Hub?
No, we consider your HR system as the point of truth for all employee information. Employee information must be updated in your HR system.

I had an immediate termination and need to perform an offboarding before the HR system syncs. What should I do?

To offboard an employee immediately, navigate to the Employee Detail page for the individual. From there:

  1. Select Actions.

  2. Click Offboard.

This will initiate the offboarding flow, ensuring the employee's access and devices are handled promptly.
