Ship a Device

Introduction

The Ship a Device page allows admins to efficiently retrieve or ship laptops using a streamlined return process through UPS. The page generates a QR code, which can be taken to a UPS location along with the laptop and charging cable-no box or packing materials needed. UPS will then properly pack and ship the device to your chosen destination, ensuring secure and hassle-free delivery.


The shipping process

To retrieve a device that needs work or from an exiting employee:

  1. Enter the to and from addresses

  2. Click the Send QR code button

  3. This will generate a QR code, which will be sent to the email address that was entered in the Shipping from section of form

  4. The shipper will then take their laptop and charging cable to the nearest UPS location

  5. The UPS will securely pack, insure, and ship the device to the specified address at no cost to the shipper

Your organization will be invoiced at the end of any month when shipments occur. You are not charged for un-used shipments.

Communications

The following emails will be sent to assist in the device shipment process.

To the address in the Email to send QR code and reminders field in the Shipping from section, ie. the shipper:

  1. The initial request to ship the device, including instructions, device details and the QR code

  2. A first reminder, only if the device hasn’t shipped within 7 days

  3. A final reminder, only if the device hasn’t shipped within 14 days

To the address in the Administrator email to receive updates field in the Shipping to section:

  1. A confirmation that the initial request has been sent to the shipper

  2. A notification that the shipper has been sent an initial reminder

  3. A notification that the shipper has been sent a final reminder

  4. A notification that the device has been shipped, including tracking information

  5. A notification that the device has been delivered

Emails are sent from noreply@electric.ai. Please add this address to your safe senders list to ensure proper delivery.

Limitations apply

Devices can only be shipped from The UPS Store locations in the contiguous United States. We do not offer shipments to non-US locations. Monitors, key cards or other accessories are not eligible for this program.

Example

Below is an example featuring the first reminder email sent to the employee/ shipper if they do not return their device within seven days of the original request.
